How to manage exhibition equipment without shortages or rework

From spreadsheet inventory to booth allocation, delivery, and collection—a simple system for keeping every item accountable.

Exhibition inventory needs one reliable source of truth. Item name, model, size, total quantity, allocated quantity, and remaining quantity are the minimum useful fields.

Use a stable name and code for every material. A 35-inch television and a 55-inch television are separate items and should never be reported under one generic television label.

When an item is assigned, remaining stock should update immediately. If a new request exceeds real capacity, the warning must appear before a promise is made to the exhibitor.

Delivery and collection are separate events. Record the collected count independently so shortages, damage, and transfers between booths remain traceable.

At the end of every shift, hand over a short action queue covering shortages, items ready for delivery, and equipment still waiting for collection.
